OFFICE RECEPTIONIST

Position Summary

The Parish Office Receptionist serves as the first point of contact for parishioners, visitors, and community members. This position provides welcoming, professional, and compassionate customer service while supporting the administrative operations of the parish. The receptionist reflects the mission and values of the Catholic Church through respectful communication, confidentiality, and hospitality.

Essential Duties and Responsibilities

Reception and Communication
Greet parishioners, visitors, and vendors in a courteous and welcoming manner.
Answer and direct incoming telephone calls.
Respond to general inquiries regarding parish services, Mass schedules, sacraments, ministries, and events.
Receive and distribute mail, packages, and correspondence.
Maintain parish office reception area in a professional and orderly condition.

Administrative Support

Assist with data entry, filing, copying, scanning, and other clerical duties.
Maintain parish records and databases as assigned.
Prepare correspondence, forms, reports, and bulletin materials.
Schedule appointments and coordinate meeting room reservations.
Support parish staff with administrative projects and special events.
Parish Operations
Assist with registration of new parishioners.
Provide information regarding baptisms, weddings, funerals, religious education, and other parish programs.
Maintain calendars for parish facilities and activities.
Process Mass intentions, donations, and other parish-related transactions as assigned.
Coordinate communication with volunteers and ministry leaders.

Confidentiality and Stewardship

Handle sensitive and confidential information with discretion.
Follow diocesan and parish policies regarding records management and privacy.
Support the mission of the parish through professional conduct and ethical stewardship of resources.

Qualifications

Previous receptionist, administrative assistant, or customer service experience preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook) and general office equipment.
Strong verbal and written communication skills.
Excellent organizational skills and attention to detail.
Ability to multitask and work independently.
Ability to interact respectfully with individuals from diverse backgrounds.

Preferred Qualifications

Preference for an active Catholic in good standing with the Church. Knowledge of Catholic practices, terminology, and parish life.
Experience working in a church, nonprofit, or faith-based organization.
Familiarity with parish management software and database systems.

Physical Requirements

Ability to sit, stand, and walk for extended periods.
Ability to lift and carry office materials up to 20 pounds.
Ability to operate standard office equipment.

Work Environment

Office setting within a Catholic parish.
Professional appearance in attire.
Regular interaction with parishioners, clergy, staff, volunteers, and the public.
Occasional evening or weekend hours may be required for parish events.
