Job Description
The Enrollment Strategy and Data Manager (ESDM) provides strategic direction for diocesan-wide enrollment growth, retention, and data-informed decision-making. This role ensures that Catholic education is effectively promoted, enrollment systems are optimized, and schools are equipped with the tools and strategies necessary to remain vibrant and sustainable.This position is enrollment and marketing-forward. Technical data systems (FACTS, MAP, data reporting) exist to support enrollment strategy, retention, and operational excellence.
The ESDM collaborates closely with school administrators, marketing personnel, and technical data support to align strategy, messaging, systems, and performance outcomes.
Primary Areas of Responsibility
I. Enrollment Strategy & Growth (Primary Focus)
• Develop and oversee a diocesan-wide enrollment and retention strategy.
• Support schools in creating actionable enrollment and marketing plans.
• Lead annual diocesan enrollment planning meetings.
• Guide schools in:
o Continuous Enrollment (CE) messaging and implementation
o Retention initiatives
o Enrollment goal-setting and performance tracking
• Provide hands-on consultation for admissions strategy and outreach campaigns.
• Serve as the first point of contact for enrollment-related parent concerns prior to escalation.
• Support international student enrollment processes and compliance.
• Oversee the Segura Initiative to strengthen Latino enrollment and engagement across schools.
• Support admissions screenings and intake processes (including admissions assessment coordination).
II. Marketing & Promotion of Catholic Education
• Lead diocesan messaging in coordination with Marketing & Social Media Coordinator focused on promoting Catholic education.
• Provide marketing professional development to Marketing & Social Media Coordinator who executes OCS marketing initiatives.
• Develop and maintain a diocesan marketing framework that schools can implement locally.
• Share marketing ideas, campaign templates, and best practices with schools.
• Coordinate diocesan-level visibility initiatives (including Niche platform oversight).
• Collaborate with The Catholic Virginian on school promotion and storytelling.
• Maintain and update enrollment-related content on the OCS website.
• Support schools pursuing special designations (Catholic School of Distinction, Purple Star, STEM/STEAM, etc.) and promote achievements strategically.
III. Database & Systems Management (Required Expertise)
The ESDM must demonstrate strong working knowledge of FACTS and enrollment systems and ensure optimal, standardized use across all schools.
FACTS & Enrollment Systems Oversight
• Provide diocesan-level oversight and standardization of:
o Continuous Enrollment (CE)
o Back-to-school packet (formerly enrollment contract)
o End-of-year archiving
o Courses and grading structures
o Data integrity and system optimization
• Provide training and troubleshooting support for schools.
• Address day-to-day system glitches in collaboration with backend support.
• Ensure consistent diocesan practices and proper utilization of system capabilities.
IV. Data Strategy & Reporting
While some technical data functions may be supported by vendors or part-time staff, the ESDM is responsible for translating data into strategy.
• Oversee diocesan enrollment data collection and reporting.
• Pull and analyze enrollment reports for the Superintendent.
• Interpret trends and provide actionable insights.
• Support principals with data-driven decision-making.
• Ensure proper database management and data hygiene.
• Coordinate with backend support (10-hour/week technical role as applicable).
Standardized Testing (MAP, ACRE and any successor platforms)
• Oversee diocesan-level coordination of standardized testing.
• Manage rostering processes.
• Organize and facilitate training sessions.
• Support schools in interpreting data and reports for improvement planning
V. Family Experience & Survey Oversight
• Oversee administration and analysis of:
o New Family Survey
o Exit Survey
o Parent Satisfaction Survey
• Identify themes impacting retention and enrollment.
• Provide schools with targeted recommendations based on feedback data.
Qualifications
• Bachelor's degree required; Master's preferred
• Commitment to Catholic education and mission.
• Experience working in a multi-school system.
• Experience supporting culturally diverse families
• Demonstrated experience in:
o Enrollment management; Continuous Enrollment management preferred
o Admissions strategy
o Marketing and communications
o Student Information System management; FACTS database management preferred
o Data interpretation and reporting
o Standardized testing platforms; MAP and ACRE preferred
• Proven ability to manipulate and interpret data sets.
• Strong organizational and communication skills.
