Job Description

St. Coleman Catholic School located in Pompano Beach, Florida has an opening for a full-time Front Desk Receptionist/ Development Assistant. This candidate is a welcoming and highly organized professional who serves as the first point of contact and provides exceptional customer service for general inquiries and visitors to the school. This role is responsible for answering and greeting callers, assessing their needs, and directing them to the appropriate parties in a courteous and professional manner. The Front Desk / Development Assistant supports both daily school operations and the school's development and advancement efforts. This individual must be able to collaborate effectively, manage multiple projects simultaneously, and demonstrate a willingness to learn new systems and processes in a fast-paced Catholic school environment. All duties are performed in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami and the school community.

Responsibilities include:
Front Desk & School Office Support
• Serve as the primary receptionist, greeting visitors and families in a warm, professional, and hospitable manner.
• Answer phones, route calls appropriately, and respond to general inquiries.
• Support daily school operations, including communication with faculty, staff, students, and parents.
• Learn and manage the school's attendance program, including daily attendance tracking, tardies, early dismissals, and parent communications.
• Maintain accurate student records and assist with data entry as needed.
• Support emergency procedures, sign-in/sign-out protocols, and school safety practices.
Development & Administrative Support
• Assist the Development Office with projects such as fundraising events, donor communications, mailings, and data organization.
• Maintain and update spreadsheets and databases related to development, attendance, and school operations.
• Prepare correspondence, reports, and documents using Google Workspace and Microsoft Excel.
• Support multiple projects at once while meeting deadlines and maintaining attention to detail.
• Collaborate with administrators and staff on special projects and school initiatives.

Qualifications:
• Strong collaboration and communication skills; ability to work effectively with administrators, teachers, parents, and students.
• Demonstrated ability to multitask and manage competing priorities in a busy office environment.
• Willingness and ability to learn new software systems, including the school's attendance program.
• Proficiency with Google Workspace (Docs, Sheets, Forms, Calendar) and Microsoft Excel.
• Experience with office telephone systems, including managing multiple lines and routing calls to appropriate extensions (preferred).
• Excellent customer service skills, including the ability to remain focused, calm, and professional in challenging situations, both in person and over the phone.
• Demonstrated history of maintaining strict confidentiality.
• Effective oral and written English communication skills, including a clear speaking voice.
• Strong spelling and grammar skills required.
• Professional demeanor with a friendly, service-oriented attitude.
• Ability to handle confidential information with discretion.
