Job Description

The Office of Vocations, located at the Archdiocesan Pastoral Center in Miami Shores, Florida, is seeking a full-time Administrative Assistant to provide administrative and clerical support to the Director of Vocations in advancing the mission of promoting and fostering priestly vocations in the Archdiocese of Miami.

This position provides administrative and clerical support to the daily operations of the Office of Vocations by assisting with office administration, maintaining confidential records, preparing correspondence, coordinating schedules, and providing professional service to clergy, seminarians, prospective candidates, parish personnel, and visitors. The Administrative Assistant performs all duties and responsibilities in a manner consistent with the mission, vision, and values of the Archdiocese of Miami.

Schedule: Monday - Friday, 8:30 A.M. to 5:00 P.M. Occasional evening and weekend hours may be required to assist with vocation-related events and programs.

Responsibilities include:
Welcome visitors and provide courteous assistance in person, by phone, and by email.
Answer and direct incoming telephone calls and respond to routine inquiries.
Prepare letters, reports, memoranda, and other office correspondence.
Maintain confidential files, records, and databases with accuracy and discretion.
Schedule meetings and maintain the Office calendar.
Assist with the preparation and coordination of vocation events and office activities.
Process routine office paperwork and maintain office supplies.
Provide general administrative and clerical support to the Director of Vocations.
Perform other related duties as assigned.

Qualifications:
High school diploma or Associate degree, with administrative office experience or an equivalent combination of education and experience.
Strong organizational skills and attention to detail.
Excellent customer service and interpersonal skills.
Ability to maintain the strictest confidentiality and exercise sound judgment.
Strong written and verbal communication skills in both English and Spanish.
Proficiency in Microsoft Outlook, Word, and Excel.
Ability to learn new office procedures, software applications, and administrative processes.
Dependable, trustworthy, self-motivated, and able to work independently as well as part of a team.
Respect for and support of the mission and teachings of the Roman Catholic Church.
Experience working in a Catholic parish, school, or diocesan environment is preferred but not required.
