Job Description

The Executive Assistant supports the Executive Director and Board of Trustees with high-level administrative tasks, executive communications, board governance, and event coordination. This role requires a tech-savvy, detail-oriented professional who can juggle multiple priorities with discretion and strong problem-solving skills.

Key Responsibilities

• Manage the Executive Director's calendar, travel, communications, and confidential correspondence
• Coordinate meetings, events, agendas, presentations, reports, and materials for leadership and the Board
• Set up virtual meetings and serve as liaison with internal and external stakeholders
• Support Board governance, records, minutes, compliance documentation, deadlines, and responsibilities
• Assist with office operations, supplies, equipment, vendors, Accounts Payable/Receivable, payment requests, and daily deposits
• Draft internal communications, maintain electronic files, and protect confidential information

Job Requirements

• Must pass background screenings and maintain required training/certifications
• Predictable on-site attendance required
• Must support Catholic Church teachings and model the organization's mission and culture

Job Qualifications

• 5+ years of executive-level administrative support, preferably in a nonprofit or board-facing role
• Advanced Microsoft Office, virtual meeting, communication, and organizational skills
• Independent, solutions-oriented, discreet, and able to act with integrity and initiative
