Job Description:This Events Coordinator role is responsible for managing logistics, communication, and planning for all Dr. Scott Hahn and Kimberly Hahn events. It includes organizing travel, overseeing event coordination, creating marketing materials, and managing finances. The Events Coordinator works closely with Dr. Hahn and Event Site Hosts to ensure events are planned and executed smoothly and efficiently. The Events Coordinator will travel as needed (at least twice per month) to events at which Dr. Scott Hahn and Kimberly Hahn are speaking, handling event onboarding, overseeing event communications, and ensuring event execution. They will prepare event materials such as flyers and handouts, manage Dr. Hahn's book inventory and orders, and handle all travel arrangements for both the coordinator and Dr. Hahn and/or Kimberly Hahn. Additionally, the Events Coordinator will assist with financial tracking, including honorariums, expenses, and donations, and will be responsible for creating and submitting itineraries, contracts, and invoices for Dr. Hahn's events. The individual in this role will collaborate closely with the Director of Presidential Affairs, Director of Major Events, and Dr. Bergsma Event Coordinator to ensure the timely completion of all event planning logistics.
Responsibilities:
• Serve as Event Lead and primary contact for all Dr. Scott Hahn and/or Kimberly Hahn Parish Events and related events
• Travel to Major Events as required by supervisor and to Dr. Scott Hahn Events as requested by supervisor
• Oversee all event bookings for Dr. Scott Hahn and Kimberly Hahn.
• Draft, negotiate, and finalize contracts for events involving Dr. Scott Hahn and Kimberly Hahn
• Manage timely execution of event onboarding and coordination, including communication with event sites
• Prepare and organize event materials, including books orders and itineraries for Dr. Scott Hahn and Kimberly Hahn events.
• Communicate event-specific requirements (e.g., volunteer packets, Wi-Fi needs).
• Coordinate geo-targeted email campaigns and pre- and post-event communications with attendees.
• Prepare invitations for Dr. Scott Hahn and Kimberly Hahn, subject to review.
• Develop marketing materials (e.g., flyers, handouts, bulletin inserts) for event promotion.
• Oversee the timely development and maintenance of event websites for Dr. Scott Hahn and Kimberly Hahn.
• Track and monitor attendance for Dr. Scott Hahn & Kimberly Hahn events to ensure expectations
• Execute event reconciliation with relevant departments for accuracy.
• Manage and track payments and invoices for events, collaborating with Accounting and external parties for timely follow-up.
• Other duties as assigned
Qualifications:
• Bachelor's Degree in Business Administration, Marketing, or related field
• Located in (or willing to re-locate to) Steubenville, OH
• Willing to travel at least twice per month
• Previous experience in event planning, event execution, and marketing
• Strong attention to detail, deadlines, and ability to adapt to changing needs
• Excellent organizational and communication skills, both written and verbal
• Proactive and able to thrive in a dynamic environment
