Job Description
TO APPLY PLEASE VISIT: https://recruiting.paylocity.com/Recruiting/Jobs/Apply/3531906The Executive Administrative Assistant will offer support to the University in three areas: providing support to the Leadership team (President, Executive Director for External Affairs and University Relations) to maximize effective mission and university advancement, coordinating university-wide events to encourage internal and external community engagement, and assisting with donor database management and stewardship to build a culture of giving and gratitude for the university's benefactors. Duties and responsibilities include the following:
Leadership Executive Assistance
- Assist with administrative duties
- Manage calendars, scheduling, emails, expense reports
- Act as liaison between other departments/university personnel, as needed
- Assist President with university-wide communications
- Additional related duties as assigned by the President
Events Coordination
- Coordinate University-wide events
- Town Hall (once per semester), All-Staff Orientations (bi-annual, supporting role), Picnic (annual), President's Reception (annual)
- Graduation, but not programs events (annual, supporting role)
- Coordinate student assistants as needed for helping with events
- Assist President and Board with logistics and materials for board meetings
- Assist preparation of fundraising and alumni events
- Virtual Events Board (in coordination with HR and programs)
Advancement Database Management and Stewardship Assistance
- Coordinate gift entry/deposit and acknowledgement processes
- Entering gifts, preparing and mailing acknowledgments/tax receipts, donor letters, etc.
- Assist with donor stewardship opportunities (preparing and mailing materials, making thank you calls, etc.)
- Manage donor database, forms, and reports for Advancement team
- Manage Advancement and Travel calendars with other Advancement team
- Work with Graduate Assistant on various tasks as assigned
- Assist Advancement team with administrative duties as needed
- Expense reports
- Other related duties as assigned
Necessary skills:
- Strong attention to detail and thoroughness
- Commitment to data integrity and data verification
- Ability to handle sensitive and confidential information appropriately and with discretion (signed Confidentiality Agreement required)
- Excellent organizational, interpersonal and communication skills
- Ability to learn database management
- Experience in Microsoft suite, especially Excel and Word
- Experience in Google Drive suite, especially Sheets
- Ability to focus and maintain high quality work when doing repetitive tasks
- Willingness to ask questions when something is unclear
- Willingness to take initiative and attempt to solve problems if able
- Friendly attitude and enjoys speaking about the mission of DMU
Requirements:
- Experience: 2-3 years of related experience
- Location: On campus at DMU in Sterling, VA
- Educational: Bachelor's degree at minimum
- Physical: Ability to transport a moderate amount (mailings, promotional materials, etc.)
