ROLE SUMMARY
The Executive Assistant to the Leadership Team provides direct administrative and operational support to the senior leadership of St. Joseph Financial Services. This role is critical in ensuring the smooth day-to-day functioning of the executive office through proactive calendar management, meeting coordination, document preparation, and communication support. The Executive Assistant acts as a central point of contact, maintaining confidentiality and professionalism while fostering effective collaboration across departments. This position requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.

KEY RESPONSIBILITIES
-Provide comprehensive administrative support to the CEO and Leadership Team, including managing calendars, scheduling meetings, time cards, credit card expense reports, and coordinating travel arrangements.
-Serve as a liaison between the Leadership Team and internal/external stakeholders, ensuring prompt and professional communication.
-Prepare, edit, and distribute correspondence, reports, presentations, and other documents.
-Organize and prioritize incoming information, ensuring the Leadership Team is well-prepared for meetings and events.
-Assist with board meeting preparation, including creating agendas, compiling materials, and recording meeting minutes.
-Coordinate special projects, initiatives, and event planning as needed.
-Monitor and follow up on action items, ensuring deadlines are met and progress is reported.
-Support the overall office operations and help maintain a positive, efficient, and productive environment.
-Assist the Leadership Team with administrative tasks in their respective areas:

CEO - Create a welcoming environment in the HQ office and book conference rooms as needed.

Chief Membership Officer - Prepare and ship materials for events, support follow-up from events.

VP, Organizational Development - Logistical support for new employee onboarding, create, order, and manage Swag inventory, create digital ads and marketing materials, create a monthly marketing report on activity, support recruiting efforts, and write content for social media and newsletters.

Sr. Dir of Digital Strategy - Assist with coordinating and training on technology for new hires.

WHAT WE ARE LOOKING FOR FROM YOU
-Experience in an executive assistant or senior administrative support role, preferably in financial services or a professional services environment.
-Proven ability to manage multiple tasks and priorities in a fast-paced setting.
-Exceptional written and verbal communication skills.
-Proficiency in Google Suite (Docs, Sheets, Slides); experience with collaboration tools (e.g., Video Conferencing, Google Sites) is a plus. ---Experience with design tools (Canva, Adobe Suite) is a plus.
-High level of professionalism, discretion, and integrity.
-Strong interpersonal skills with the ability to interact effectively at all levels of the organization.
-Detail-oriented, with strong problem-solving and decision-making abilities.
-Reside in the South Bend, IN area, or willing to relocate.
-Ability to travel to other offices or for events.
