Job Description

About the Position

The Bookkeeper reports directly to the Chief Operating Officer and is responsible for maintaining accurate financial records and reports, supporting budget tracking and reporting, and performing transactional duties. Must reside within the Archdiocese of Galveston-Houston.

Key Responsibilities

Core Bookkeeping:
*Manage all bookkeeping activities in QuickBooks, including general ledger maintenance
*Process accounts receivable, including creating and managing customer invoices in QuickBooks
*Record deposits, donations, and other cash receipts with correct coding
*Maintain and reconcile bank accounts and credit card transactions
*Prepare journal entries and ensure accurate transaction classification
*Maintain organized, complete, and up-to-date financial records

Close & Reporting:
*Complete month-end and year-end closing procedures
*Reconcile balance sheet accounts monthly
*Prepare monthly, quarterly, and annual financial reports

Tax & CPA Coordination:
*Collaborate with the COO to prepare year-end payroll forms (W-2, 1099-NEC)
*Coordinate with CPA and COO to support Form 990 preparation

Inventory Control:
*Coordinate monthly with fulfillment center to monitor inventory levels and report needs to the COO

Qualifications & Experience

*Must reside within the Archdiocese of Galveston-Houston (this is a hybrid role; primarily remote with occasional in-person days).
*Practicing Catholic in good standing who supports and upholds the teachings and mission of the Church.
*Demonstrated knowledge of bookkeeping and financial accounting principles.
*Proficiency with QuickBooks Online, including general ledger, accounts payable/receivable, class tracking, and reporting. QuickBooks Online Certification preferred.
*Familiarity with non-profit terminology / having prior non-profit accounting experience is a plus.
*High degree of discretion, integrity, and professionalism, with strong attention to detail.
*Excellent organizational and time-management skills, with the ability to manage recurring deadlines independently.
*Clear written and verbal communication skills.
*Proficiency with Microsoft Office (Excel, Teams, etc.)

Hours/Salary
*Approximately 15 hours per week
*Remote work
*Compensation commensurate with experience (hourly rate)
