Job Description
POSITION SUMMARY:The MACS Business Manager provides leadership for system-wide business and financial operations supporting the MACS school system, including oversight of student billing, tuition delinquency management, budget execution, enrollment execution, scholarship and financial aid processes, and resolution of complex billing matters. The role supervises business office staff and works collaboratively with schools and central office partners to translate approved priorities into effective, accurate, and compliant operational execution.
KEY RESPONSIBILITIES:
• Oversee student billing processes and tuition delinquency management to ensure accuracy, consistency, and appropriate application of policies.
• Support development and monitoring of the annual operating and capital budgets, and oversee budget execution in alignment with approved priorities and leadership direction.
• Ensure effective execution of the annual enrollment and re-enrollment processes in coordination with Admissions, schools, and the Business Office.
• Translate approved initiatives, enrollment decisions, and priorities into actionable financial plans, timelines, and operational processes.
• Provide direct supervision, coaching, and accountability for assigned business office staff.
• Coordinate financial aid processes in collaboration with the Development Office, including billing setup, account adjustments, and parent communication.
• Provide oversight of NCSEAA scholarship program administration, including compliance, reconciliation, and reporting requirements.
• Review and approve invoices within assigned authority as part of the accounts payable process, ensuring accuracy and compliance with diocesan financial policies.
• Administer select employee benefit programs and stipends in accordance with approved policies, including tuition discounts and educational reimbursement.
• Coordinate business and financial workflows across MACS schools and central office departments to promote consistency and efficiency.
• Serve as the primary point of contact for parent complaints and escalations related to student billing and tuition delinquency.
• Identify recurring operational issues and communicate trends, risks, and improvement opportunities to leadership.
OTHER RESPONSIBILITIES:
• Support the annual financial audit by ensuring student billing, tuition delinquency activity, and NCSEAA scholarship funding records are accurate, complete, and readily available.
• Maintain documentation and procedural guidance related to billing, scholarships, and enrollment-related financial processes.
• Participate in cross-department projects or working groups as assigned to support operational improvements.
• Performs other duties as assigned.

POSITION REQUIREMENTS:
Education
• Bachelor's degree in business, finance, accounting, administration, or a related field required. Master's degree preferred.
Experience
• 5-7 years of progressively responsible experience in financial, business, or operational roles.
• Demonstrated experience supervising staff or overseeing operational workflows with accountability for results.
• Experience supporting student billing, financial aid processes, or scholarship administration in a collaborative, multi-department environment.
• Experience working in a complex organization; educational, nonprofit, or mission-driven experience preferred.
Skills
• Strong organizational and analytical skills with high attention to detail.
• Ability to lead staff, set expectations, and hold others accountable in a supportive and professional manner.
• Strong customer service and conflict-resolution skills, particularly when working with parents and school stakeholders.
• Ability to communicate complex financial or policy information clearly and effectively.
• Strong organizational and prioritization skills, with the ability to manage shifting demands while maintaining accuracy, consistency, and sound judgment.
• Advanced proficiency in Microsoft Excel and experience using financial or billing software
