Job Description

A. Position Overview

The Administrative Support Specialist plays a vital role in advancing the mission of Fidelis Sisterhood by ensuring that the administrative and digital systems supporting our chapters, donors, and members run smoothly and with excellence.

This position manages our donor database and online giving platform (PushPay), processes donations and registrations, creates and maintains forms, and supports local chapter leaders in effectively using Fidelis tools and resources. This position is also a key partner for the Executive Director.

The ideal candidate is organized, compassionate, tech-savvy, and service-oriented-someone who loves order, values precision, and feels called to use her administrative gifts to serve a mission that is transforming the lives of women and girls across the country.

B. Key Responsibilities

1. Donor & Data Management

- Maintain the accuracy and integrity of the Fidelis donor database and online giving system (PushPay).

- Enter, track, and reconcile donations and registrations in a timely and organized manner.

- Generate and distribute donor acknowledgments and contribution reports as needed.

- Ensure all data is current, clean, and consistent across platforms.

- Assist the Executive Director in identifying trends and opportunities for donor engagement.

2. PushPay & Chapter Support

- Serve as the primary point of contact for chapters needing support with PushPay forms, event registration setup, or donation management.

- Create and maintain online forms for registration, events, and fundraising initiatives.

- Provide simple training or troubleshooting assistance to chapter leaders using PushPay.

- Ensure that each chapter's data is organized and aligned with national reporting standards.

3. Administrative & Program Support

- Maintain accurate digital files and assist with document organization using Microsoft 365 tools (Teams, OneDrive, SharePoint, Outlook).

- Support communication and coordination between the national office and local chapters.

- Assist with registration tracking for national events such as Inspire, Fiat, and virtual retreats.

- Provide general administrative support to the Executive Director as needed, including scheduling, email correspondence, and preparing materials for meetings or reports.

C. Qualifications

- Strong commitment to the mission and Catholic identity of Fidelis Sisterhood.

- Excellent organizational skills and meticulous attention to detail.

- Experience with donor databases, CRM systems, or online giving platforms (PushPay experience is preferred but not required).

- Proficiency with Microsoft 365 (Teams, OneDrive, Outlook, SharePoint) and comfort learning new digital tools.

- Experience with Wix website management and MailChimp is a plus.

- Strong communication and interpersonal skills, especially in supporting volunteers or ministry leaders.

- Ability to handle sensitive information with confidentiality and discretion.

- Prior experience in nonprofit, church, or ministry administration preferred.

D. Schedule & Compensation

- Part-time, approximately 15-20 hours per week (with opportunity for more hours during key seasons such as Inspire [June-July] and chapter registration [August-September]).

- Work schedule is flexible outside of required meetings and events.

- Remote position with occasional in-person collaboration (attendance at Inspire in early July in Copperhill, TN is required - travel and lodging is paid for by Fidelis).

- Hourly rate range is $20-$25 per hour, commensurate with experience.
