Job Description
The Operations and Engagement Manager is responsible for overseeing the daily operations of the Catholic Center at Rutgers and carrying out the administrative and engagement tasks necessary for the ministry to thrive. The three primary components of this position include: (1) operations and office administration,(2) communications and engagement, and (3) alumni relations and database management.
This is a full-time (35 hr) position with benefits.
Essential Functions
Operations & Office Administration General Oversight
• Ensure smooth daily operations of the Catholic Center, fostering a welcoming environment for students, alumni, and visitors.
• Coordinate building maintenance, cleaning services, security, IT, and office supply management.
• Greet visitors, manage phone/email inquiries, and oversee mail distribution.
Financial Administration
• Process donations, collections, credit card receipts, invoices, and bank deposits in coordination with the Diocesan Finance Office.
• Maintain accurate financial records for internal use.
Personnel & Compliance
• Recruit, hire, and oversee front desk workers and student staff, including scheduling, payroll, and HR onboarding.
• Ensure all staff/volunteers maintain compliance with Virtus/Protecting God's Children
requirements.
Communications & Engagement Internal
• Maintain the Catholic Center calendar, manage reservations, and coordinate use of facilities.
• Take and distribute staff meeting notes; support coordination of staff retreats and planning days.
• Collaborate with St. Peter's staff for scheduling and joint initiatives.
External
• Manage website updates, email lists, and newsletters to students, alumni, and supporters.
• Coordinate print and digital communications including direct mail appeals, annual campaign mailings, and alumni outreach.
• Support the Student Leadership Team with content for social media, event promotions, and Sunday Mass announcements.
• Partner with the Director to identify grant opportunities and assist with proposal development.
• Develop storytelling content (student spotlights, alumni updates, ministry impact stories) to strengthen engagement.
• Ensure consistent brand and message across all communication platforms.
Alumni Relations & Database Management
• Maintain and grow an active alumni network through consistent outreach (phone calls, emails, newsletters, social media engagement, and invitations to Center events).
• Personally thank key donors, while ensuring timely acknowledgments for all gifts.
• Plan and execute alumni/parent engagement opportunities such as reunions, appreciation events, and mentoring initiatives that connect alumni with current students.
• Partner with the Director to develop strategies for cultivating alumni as advocates, mentors, volunteers, and donors.
• Manage alumni/donor database to ensure accurate records, segmentation, and data integrity.
• Create and analyze reports from the database to inform fundraising strategy, alumni engagement, and communications planning.
• Collaborate with the Diocesan Director of Development to maintain a shared, comprehensive database of alumni, parents, and prospective donors.
Qualifications
• Commitment to the mission of the Catholic Church and familiarity with campus ministry.
• Strong administrative and organizational skills, with attention to detail.
• Excellent written and verbal communication skills, with the ability to adapt messaging for students, alumni, parents, and donors.
• Experience in alumni relations, fundraising, marketing, or communications preferred.
• Proficiency in Google Suite, email marketing platforms, and database/CRM systems (e.g., Raiser's Edge, ParishSOFT, etc.).
• Event planning and project management experience.
• Ability to analyze data and generate reports to support engagement and fundraising initiatives.
• Independent worker with initiative, creativity, and the ability to manage multiple priorities.
• Comfortable engaging alumni, parents, and supporters by phone, email, and in person.
Salary Range - $51,000 to $56,000 annualized salary based on experience
