Job Description

Executive Assistant

Life Legal Defense Foundation | Sacramento Area

Life Legal Defense Foundation seeks a warm, resourceful, and dependable Executive Assistant to support our CEO and help advance our mission of protecting vulnerable human life through litigation, education, and advocacy.

Founded in 1989, Life Legal is a national pro-life legal nonprofit organized as a California nonprofit religious corporation. Our work involves urgent legal matters, sensitive client circumstances, and relationships with attorneys, donors, and ministry partners throughout the country.

This position combines hands-on administrative support with project coordination and follow-through. We are looking for someone who is both professional and personable-who takes the mission seriously, enjoys working with people, and helps make demanding days more manageable.

The ideal candidate anticipates needs, exercises good judgment, and enjoys seeing work through to completion. This person will build a collaborative, trusting partnership with the CEO, providing practical support with initiative, flexibility, and a sense of humor.

Responsibilities
• Support the CEO with scheduling, meeting preparation, travel arrangements, correspondence, and document organization.
• Turn agreed priorities into practical next steps, timelines, and follow-up.
• Maintain an organized record of projects, commitments, and deadlines.
• Coordinate with staff, contractors, attorneys, and other partners to keep assigned work moving.
• Prepare meeting agendas, capture decisions, and follow up on action items.
• Gather information and prepare concise summaries to support decision-making.
• Assist with donor meetings, events, staff retreats, and other organizational projects.
• Handle local office needs, mail, materials, and occasional errands.
• Treat confidential information with discretion and communicate with professionalism and compassion.

Qualifications
• Strong commitment to the protection of human life and Life Legal's mission.
• Respect for Life Legal's religious identity and willingness to support its mission and values.
• Experience supporting an executive or coordinating administrative work and projects in a professional setting.
• Excellent organizational, writing, and communication skills.
• Dependable follow-through and the ability to complete work with minimal supervision.
• Sound judgment about competing priorities, including knowing when to act independently and when to seek direction.
• Flexibility when urgent matters arise or plans change.
• A friendly presence, a positive outlook, and a sense of humor.
• A collaborative approach that combines initiative with tact and respect for the CEO's leadership and working style.
• Comfort with Microsoft Office, shared calendars, video meetings, and basic project-tracking tools.

Experience in a legal office, nonprofit, pregnancy resource center, or ministry is helpful. A law degree is not required.

Working Together
The CEO sets strategic direction and priorities. The Executive Assistant takes ownership of assigned support and coordination, handles routine matters independently, and brings thoughtful recommendations when decisions are needed.

Success in this role means building trust, reducing the CEO's administrative burden, and helping important work reach completion while contributing to a supportive, positive workplace.

Location, Schedule, and Compensation
This position offers a flexible hybrid schedule, with regular in-person support in the Sacramento area and remote work. Specific hours and arrangements will be determined together based on the candidate's availability and the organization's needs. Compensation is commensurate with experience and qualifications.
