Finance Operations ManagerReports To: Director of Integration
Location: Brighton, Michigan (remote Not-Possible)
Employment Type: Full-Time
Overview
Encounter Ministries is seeking a highly organized, detail-oriented, and
mission-driven Finance Operations Manager who reports to the Director of
Integration and oversees the day-to-day financial operations of the ministry. This
role is responsible for accurate bookkeeping, accounts payable and receivable,
expense management, payroll support, and maintaining strong financial systems
and documentation.
The ideal candidate is execution-focused, dependable, and committed to excellence
in financial stewardship, enabling leadership to make informed decisions while
ensuring financial accuracy and compliance.
Core Responsibilities
Accounting & Financial Operations
Manage day-to-day bookkeeping and financial transaction entry
Oversee Accounts Payable (AP), including vendor payments,
reimbursements, and expense tracking
Oversee Accounts Receivable (AR), including deposits, invoicing, tuition, and
other receivables
Maintain tuition aging reports and oversee collections follow-up processes
Perform regular bank, credit card, and payment platform reconciliations
Maintain accurate financial records in QuickBooks and related systems
Prepare monthly financial reports for Director of Integration review
Monitor ministry budgets against actuals and flag variances to the Director
of Integration
Support Encounter Ministries' publishing-related financial needs
Maintain rolling 3-6 month cash flow projections and proactively flag
potential cash flow risks
Prepare monthly department-level and event-level financial reports with
budget-to-actual variance analysis
Maintain accurate tracking of restricted funds and deferred revenue
Support inter-entity financial tracking and reconciliations across
Encounter-related entities
Maintain vendor contract payment schedules and validate invoices against
contract terms prior to payment
Compliance & Financial Controls
Ensure adherence to internal financial policies and procedures
Maintain organized documentation for audits, reviews, and compliance needs
Support preparation of financial statements and required filings
Monitor and enforce internal financial controls to safeguard ministry assets
Monitor and enforce financial approval matrix and segregation-of-duties
controls
Reconcile donation platforms monthly (Stripe, PayPal, Donorbox, etc.) and
ensure compliant tax receipting and 1099 issuance
Own and maintain finance-related Scorecard metrics (cash on hand, AR
aging, event margin %, budget variance %, reconciliation completion rate)
Expense & Reimbursement Management
Implement and maintain expense tracking systems
Ensure reimbursements are processed accurately and on time
Organize receipts, invoices, and supporting documentation
Provide Stripe credit card support related to payment processing
Flag anomalies, errors, or inefficiencies to the Director of Integration
Payroll & Employee Financial Administration
Support payroll processing and ensure accuracy of payroll data
Maintain employee compensation and payroll records
Assist with financial aspects of onboarding and offboarding
Support employee benefits administration in coordination with HR
Travel & Logistics Financial Support
Manage and reconcile travel expense reports
Ensure travel expenses comply with ministry policies
Essential Requirements & Agreements
Active, practicing Catholic in good standing with the Church
Highly organized, detail-oriented, and execution-driven

accountability
Strong problem-solving and systems aptitude

Qualifications
Background in Finance, Accounting, Business Administration, or equivalent
experience
Experience with bookkeeping, AP/AR, and reconciliations
Proficiency with accounting software (QuickBooks preferred)
