Schedule Monday-Friday; on-call for building alarms and snow removal
Compensation $48,000 -$55,000

POSITION SUMMARY
The Lead Custodian/ Maintenance at Augustine-Saint Francis Xavier Parish is an active, hands-on coordinator role: This position keeps parish facilities clean, safe, and well-functioning by combining custodial skills with preventive maintenance, inspections, oversight, vendor coordination, and supervision of the Custodian.
This role reports directly to the Pastor and is his primary point of contact for all routine facilities matters. The goal is to catch problems before they become emergencies, keep the buildings clean and maintained, and keep the Pastor fully informed so he is aware of all facility decisions. This person does not act autonomously - they assess, communicate, and execute with the Pastor's direction.
This position is not responsible for capital projects, major construction
CORE RESPONSIBILITIES
1. Supervision of the Custodian
• Directly supervise the Custodian
• Cover all Custodian duties - cleaning, event setup, grounds maintenance - when needed; this is not a desk job or purely supervisory role
• Assist and fill in for other maintenance personnel when needed to ensure continuous coverage across both campuses
• Coordinate with custodial staff and/or outside cleaning companies to schedule all necessary maintenance and cleaning tasks
• Coordinate overlapping schedules with the Custodian to maximize building coverage throughout the day
• Manage Monday.com staff requests by prioritizing the queue with the Pastor, avoiding disruption from ad-hoc tasks
• Report any performance concerns about the Custodian to the Pastor
2. Preventive Maintenance & Building Walkthroughs
• Conduct regular walkthroughs of all parish buildings and grounds to identify issues before they escalate
• Observe the condition of plumbing, electrical, HVAC, roofing, doors, windows, fences, and building systems on an ongoing basis
• Diagnose the nature and likely source of any problem in order to determine the correct type of vendor or contractor needed
• Maintain all equipment and tools in proper working order
• Test and document the status of CO detectors, smoke detectors, exit signs, and fire extinguishers on a scheduled basis
• Monitor 6 boilers, ductless A/C, portable A/C, and HVAC systems; identify irregularities and schedule service
• Maintain monthly maintenance logs for boiler, A/C units, and fire extinguisher inspection cards
• Develop and follow a seasonal maintenance checklist and document all activity on the Monday.com board
• Surface aesthetic and maintenance concerns to the Pastor for priority-setting; never act on repairs or improvements without discussing them first.
• Prioritize and initiate response for all emergency situations.
3. Inspections & Compliance Tracking
• Maintain a running calendar of all required building inspections and compliance deadlines: boiler, gas lines, fire safety, alarm systems, parapet inspections, Place of Assembly Certificate, and any other NYC or Diocese requirements.
• Schedule and ensure that all appointments make it to the general parish calendar.
• Be present during all inspections and walkthroughs to facilitate access, answer questions, and receive findings
• Ensure corrective actions identified in inspection reports are tracked and completed
• Maintain organized records of inspection results, certifications, and compliance documents
• Proactively alert the Pastor to upcoming deadlines and any open compliance items
4. Alarm Monitoring & Emergency Response
• Serve as the primary on-call contact for building alarm activations.
• Must be reachable and available to respond on-site after hours and on weekends for alarm events and building emergencies
• After-hours and weekend emergency responses will be compensated through overtime pay or flex time
5. Vendor & Contractor Coordination
• Identify when a repair requires outside professional help and determine which trade is appropriate (plumber, electrician, HVAC, locksmith, etc.)
• Notify the Pastor before contacting vendors. Describe the issue, the needed fix, and your recommended next steps.
• Solicit multiple quotes for any approved work; present options clearly to the Pastor.
• Schedule and confirm contractor appointments; coordinate access and be present on-site during all contractor visits
• Follow up on outstanding work orders to confirm completion and quality
• Maintain an updated contact list of approved vendors for each trade
• Coordinate with the parish bookkeeper to ensure vendor invoices are received and processed correctly; flag any billing discrepancies to the Pastor
6. Cleaning Company & Service Vendor Oversight
• Ensure the cleaning company at Saint Augustine is fulfilling the terms of their contract; conduct regular observations and spot checks
7. Garden & Grounds Vendor Oversight
• Ensure garden and grounds maintenance vendors arrive as scheduled and perform their work completely
• Proactively communicate with vendors when work is incomplete or not up to standard
8. Inventory & Supply Management
• Maintain awareness of overall supply levels; the Custodian will communicate when inventory in storage is running low and an order is needed
• Create an inventory of parish tools and machinery.
• Place all supply orders in coordination with the Pastor. do not order without approval
• Maintain organized records of orders so that spending questions from the Pastor or bookkeeper can be answered accurately at any time
• Coordinate delivery logistics: arrange for deliveries to the correct location and notify the Custodian when orders arrive so that storage areas can be stocked
• Verify that received orders are correct and complete; flag any discrepancies to the vendor
• Keep storage areas organized, labeled, and accessible across all buildings
9. Minor Repairs & In-House Handyman Work
• Perform minor repairs within handyman scope: basic plumbing (running toilets, leaky faucets, shutoff valves), electrical (bulbs, outlets, switches, fixtures), door and lock adjustments, patching, painting, carpentry, and similar tasks
-Assess each repair first to choose between an in-house fix or a contractor. Consult the Pastor if a DIY fix is inefficient.
• Handle routine seasonal maintenance: fence care, exterior door and window maintenance, downspout clearing, floor maintenance coordination
• Escalate anything beyond in-house scope to the Pastor for contractor approval
10. Monday.com Board Management
Responsible for maintaining boards (training provided): Facilities, Inspections, Contractor/Vendor, Operations
11. Communication & Reporting to the Pastor
• Communicate proactively and clearly - by email, phone, or in person on open items, pending inspections, and contractor progress
• Hold brief regular check-in meetings with the Pastor to review open items, agree on priorities.
• Surface safety concerns, urgent repairs, or compliance deadlines immediately.
12. Snow Removal & Weather Emergencies
• Assess whether to supplement internal snow removal with a contracted snow removal company; present recommendations to the Pastor
• On-call requirement: This position is on call for snow removal seven days a week, as necessary. Availability during winter weather events is a firm requirement of the role.
• Lead all aspects of snow removal at both SASFX campuses: shoveling, clearing stairs and entrances, operating a snow blower where applicable, and spreading salt
• Must be available on short notice during weather emergencies; schedule flexibility is required
• After-hours and emergency snow removal responses will be compensated through overtime pay or flex time, arranged in coordination with the Pastor
• Coordinate snow removal responsibilities with the Custodian
13. Special Projects & General Duties
• Execute special facilities projects assigned by the Pastor, working with the Custodian as a team where appropriate
• Handle any other duties as they arise and are determined by the Pastor
QUALIFICATIONS & SKILLS
• Prior experience in building maintenance, custodial supervision, facilities management, or a skilled trade
• General handyman knowledge: basic plumbing, carpentry, electrical, painting, HVAC, and floor care sufficient to assess a problem and perform minor repairs before calling outside help
• Demonstrated ability to diagnose a building problem, identify the correct trade or vendor, and communicate that assessment clearly
• Experience coordinating or communicating with outside vendors or contractors
• Strong written and verbal communication skills; comfortable using email to communicate with vendors, staff, and the Pastor
• Supervisory experience or demonstrated ability to lead and support others
• Comfortable with digital tools: smartphone, email, and task tracking platforms
• Highly organized; able to maintain an inspections calendar, track open items, and follow through without being reminded
• Exercises good judgment on priorities; able to professionally manage competing requests from multiple staff members
• Energetic, dependable, and physically fit; able to perform sustained physical work across multiple buildings and cover custodial duties as needed
• Ability to safely lift and move objects weighing up to 50 pounds
• Patient, friendly, and professional; exercises good judgment, integrity, and emotional control at all times
• Maintains a neat, professional personal appearance; must comply with parish uniform standards
• Ability to recognize sensitive information and maintain strict confidentiality
• Floor care knowledge (stripping and waxing) is a plus; painting experience is a plus
• Must reside within a reasonable distance of the parish to respond to after-hours alarm events
• Bilingual (English/Spanish) a plus but not required
