Job Description

Purpose: Catholic Leadership Institute (CLI) provides bishops, priests, deacons, religious, and lay persons in the Roman Catholic Church with world-class, pastoral leadership formation and consulting services that strengthen their confidence and competence in ministry, enabling them to articulate a vision for their local church, to call forth the gifts of those they lead, and to create more vibrant faith communities rooted in Jesus Christ.

Summary: The Event Client Success Coordinator (CSC) provides the highest level of client service and logistical support for the clients served by Catholic Leadership Institute and the client delivery teams providing those services. This includes managing client inquiries, staffing the Client Help Desk, appropriately escalating issues, and maintaining a consistent focus on excellent client service.

The Event Client Success Coordinator works closely with CLI Leadership Consultants and delivery teams to support the preparation and delivery of client engagements. As part of the broader Client Success Coordinator role, this position has a particular emphasis on event and onsite support, including coordinating food, training materials, room set-up, shipping, venue needs, participant communications, and other event logistics. Many of these events and engagements take place at the Augustine Institute in St. Louis, Missouri. This position is based in the St. Louis area and requires regular onsite support there, with travel to other locations as needed.

The CSC also works directly with client contacts in Catholic parishes and dioceses to answer questions, provide technical support, and assist with participant registration. CSCs also use their gifts and talents to provide specialized support to projects and activities across the organization as needed.

Note: This position supports time zones across the U.S., so occasional off-hours work may be required.

DESIRED QUALIFICATIONS

Qualifications

Practicing Catholic with a deep love of the Roman Catholic Church
Bachelor's degree from an accredited university
Three to five years of experience in customer service, client success, event coordination, or a related field
Ability and willingness to travel frequently in support of CLI events and client engagements
This is a remote, home-based position that requires the employee to reside in the greater St. Louis area. While day-to-day work may be performed remotely, the role requires frequent onsite support for CLI events and client engagements, many of which are held at the Augustine Institute in St. Louis. Additional travel may be required based on event and client needs
Preferred Relevant Experience

One to two years of staff or volunteer leadership in a Catholic parish, diocese, or other organization
One to two years of experience with event coordination, administration, project management, and/or data analysis
Experience supporting in-person events, meetings, conferences, or other multi-participant engagements, including coordination with venues, vendors, presenters, and/or participants

Strong event coordination and logistical planning skills, with the ability to anticipate needs and manage multiple details before, during, and following an event
Ability to coordinate effectively with venues, vendors, Leadership Consultants, internal team members, and client contacts to support successful events and engagements
Ability to remain organized, responsive, and solutions-oriented while supporting onsite events and responding to changing needs in real time
Strong attention to the participant and client experience, with an ability to anticipate how logistical details contribute to a welcoming, well-executed event
Ability and willingness to travel frequently, primarily to St. Louis, Missouri, as well as other locations as needed
A strong understanding of Catholic culture, structures, parish life, ministries, and roles
Commitment to the highest level of client service and attention to detail
Comfort operating in a fast-paced, high-pressure environment and adapting to changes in task and process
Excellent verbal and written communication skills, especially via phone and email
High level of comfort with public speaking and presenting material to an audience
Self-directed and independent worker, comfortable working alone or collaborating with a team

Consultant Support (30%)

Respond to the needs and direction of Leadership Consultants for client engagement preparation and follow-up.

Create and/or customize written participant communications as requested by Leadership Consultants.

Support virtual logistical needs of CLI delivery teams.

Ensure timely and accurate shipping of materials to offsite venues in support of client engagements.

Send and manage virtual meeting invitations and scheduling using Zoom or other virtual meeting tools.

Help anticipate and address logistical needs related to client engagements to support a positive participant and client experience.

Client Success (30%)

Respond to client needs via email and phone.

Provide the highest level of client service when staffing the Client Help Desk.

Provide basic technical assistance to clients using the CLI Portal.

Respond to or escalate client or participant concerns promptly to ensure quick resolution and the best possible participant experience.

Enter participant and engagement data into the appropriate systems.

Participate in the coordination of paper Disciple Maker Index survey data entry, including spending time in the office monthly during peak paper survey times.

Events (40%)

Coordinate logistical needs for assigned CLI events and in-person client engagements, including venue coordination, room set-up, food, materials, shipping, and other event needs.

Serve as a primary point of contact for venues and other event-related partners before and during assigned events.

Provide onsite support for CLI events and client engagements, including many held at the Augustine Institute in St. Louis, Missouri.

Coordinate participant communications and registration needs related to assigned events.

Partner with Leadership Consultants and internal teams to anticipate event needs and ensure logistics are prepared in advance.

Provide day-of event support, troubleshoot logistical needs, and respond to issues as they arise.

Help ensure a welcoming, organized, and positive experience for clients, participants, and CLI delivery teams.

Support post-event follow-up and logistical wrap-up as needed.
