Job Description
Position Summary:The Assistant Director of Administration, in conjunction with the Director of Administration, assists with daily administrative functions of the Archdiocese. Position has primary responsibility for overseeing building maintenance, procuring of office equipment, and overseeing mailroom operations. Position assists the Director of Administration with human resources information such as payroll, employee benefits, and the Archdiocese's insurance, disability, and retirement programs. Position assists the Director of Administration with building security and the planning of special events.
Essential Duties and Responsibilities:
1. Has primary responsibility for overseeing facilities and building management, to include receiving maintenance requests and coordinating repairs and service with vendors for building upkeep, HVAC, security system, and landscaping. Retains maintenance and service agreements.
2. Maintains vendor files, and identifies vendors. Coordinates vendor contract review with the AMS General Counsel.
3. Supports the Director of Administration in overseeing receptionist and mailroom staff and operations.
4. Assists in maintaining office equipment such as copiers and computers, and coordinators repairs and upgrades with vendors.
5. Provides administrative support to the Director of Administration for human resources processes such as payroll and maintaining employee files, and assists in processing and maintaining general liabilities and workman's compensation and insurance claims.
6. Assists the Director of Administration in overseeing the approval, processing and disbursement allocation of purchases.
7. Supports in the Director of Administration in planning special events, including, but not limited to, the Memorial Mass, Father Capodanno Mass, Chrism Mass, and ordinations.
8. Assists with the distribution of requested oils to AMS priests after the Chrism Mass.
9. Other duties as assigned.
Requirements
Education:
• B.A. or commensurate with experience
Experience:
• Two (2) years of supervisory experience preferred
Knowledge, Skills and Abilities:
• Understanding of facilities management.
• Working knowledge of human resources.
• Excellent communication and coordination skills to liaise with employees who are not located at the Edwin Cardinal O'Brien Pastoral Center.
• Knowledge of processing insurance.
• Experience with event planning in a Catholic setting preferred.
