Administrative Assistant

Ministry: Mother of Mercy Free Medical Clinic
Primary Office: Woodbridge
Hours per Week: 20
Staff Supervisor: Site Supervisor
Telework Available: _X___ No ____Hybrid
Starting Hourly Rate: $20.00
Schedule: Monday - Thursday: 8am - 1pm

Position Description:
The Administrative Assistant is responsible for welcoming clients to the clinic, managing the front desk area and providing administrative duties at the clinic to ensure operational effectiveness and efficiency.

Position Responsibilities:
• In alignment with agency, state and federal policies, ensure security of client and employee protected information, rights and privacy.
• Manage reception/front desk area including answering phone calls, distributing mail, greeting clients, patients and visitors.
• Conduct eligibility screens for clients desiring free health services.
• Make follow up calls to patients and clients as needed.
• Assist with monthly, quarterly and annual reports.
• Prepare vouchers, handle invoices, expense accounts for payment processing.
• Obtain and maintain office supplies.
• Provide administrative support to Program Director as needed.
• In alignment with the Office of Volunteer/Ministry standards, maintain a volunteer schedule and train volunteers in their duties.

Qualifications & Skills:
• Fully bilingual (English/Spanish)
• Effective interpersonal and customer service skills
• Effective organizational, time management, detail oriented and administrative skills
• Ability to learn new tasks and procedures, comply with processes, complete tasks independently, make timely decisions in the context of a workflow.
• Effective oral and written communications skills in English and Spanish.
• Ability to maintain strict confidentiality in communication with others.
• Willingness to uphold Catholic social teaching in the workplace
• Fluency in Microsoft office, excel, data base entry and other relevant software

Education and Experience:
• High School Diploma/GED required; further education and/or medical training a plus
• One or more years of related experience required
• Experience in a customer service environment preferred

Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Must be able to communicate verbally with patients in person and on the phone.
