The Foundation supports apostolic work across a wide spectrum of faithful Catholic organizations and initiatives, with a special emphasis on evangelization, education, and cultural renewal.

Position Summary:

The Napa Institute Foundation, in conjunction with Timothy Busch, is seeking a highly professional, organized, and mission-aligned Grants Administrator to support the philanthropic and administrative efforts in philanthropy. This individual will manage the end-to-end lifecycle of grant and donation requests, serve as a primary liaison to apostolates and development representatives, and ensure the smooth operation of backend administrative processes. The ideal candidate will possess excellent written and verbal communication skills, a high degree of discretion, and a deep understanding of Catholic culture and philanthropy.

This position will support both the Napa Institute Foundation and the broader activities of the Busch Family Office, requiring the ability to balance multiple responsibilities, manage sensitive information, and interact professionally with high-level stakeholders.

Key Responsibilities:

Foundation & Grant Administration
• Serve as the primary point of contact for all donation and grant requests.
• Communicate with apostolate leaders and development professionals regarding funding inquiries and status updates.
• Draft professional and timely donation letters and correspondence.
• Coordinate with Family Office Controller to process, track, and record grant disbursements.
• Maintain accurate records of all donations, including tax receipts and compliance documentation.
• Schedule and manage logistics for Napa Institute Foundation board meetings.
• Prepare board packets and record detailed meeting minutes.

Administrative Support for Tim Busch & Family Office
• Provide daily administrative support to Timothy Busch related to Napa Institute Foundation matters.
• Manage email correspondence for Timothy Busch, ensuring timely and appropriate responses.
• Coordinate quarterly Family Office meetings with the Controller, including note-taking and follow-ups.
• Be available to assist members of the Busch family and executive team as needed, including Steph Busch, Garrett and Betsy Busch, and Kenzie Vath.
• Support special event coordination in collaboration with Jenna Muise for Napa Institute
and other affiliated ventures.

What You Will Bring:
• Passion for engaging with Catholic apostolates and understanding the landscape of Catholic philanthropy.
• Strong written and verbal communication skills with the ability to craft professional correspondence and represent the Foundation with poise.
• High degree of organization and attention to detail; able to manage multiple tasks and deadlines efficiently.
• Discretion and professionalism when handling confidential and sensitive information.
• Proficiency with productivity tools such as Microsoft Office, Google Workspace, and file-sharing platforms.
• A practicing Catholic in good standing with a personal alignment to the mission of the Napa Institute Foundation.

Compensation and Benefits:
• $75,000 - $125,000 commensurate with experience
