Job Description

JOB SUMMARY

The Director of Operations is a full-time, senior staff position responsible for managing the day-to-day administrative, operational, and finance functions of the parish and parish staff (some part-time and some full-time). This includes key areas of oversight in Human Resources, Operations, and Finance. The role ensures that all systems, processes, and staff are aligned to support the mission and values of the parish. This position will bring a combination of business acumen, leadership skills, and a deep understanding of the Catholic Church's mission, or a willingness to grow in understanding of that mission. These functions must be performed in such a manner as to enable the Pastor to concentrate on the spiritual needs of the parish.

GENERAL RESPONSIBILITIES:

Primary adviser and assistant to the Pastor on matters of parish operations. Establishes a climate of leadership, teamwork, service, and efficiency within the staff with a focus on organizational health. Ensures smooth, coordinated efforts by the parish staff in the support of parish activities.
Ensures a high level of service and hospitality by the staff to members of the parish.

1. Provide leadership and supervision for the St. Mark the Evangelist staff.
2. Create, implement, and ensure accountability of new policies and procedures.
3. Create clear channels of communication to ensure staff and ministerial success.
4. Manage the proper implementation of diocesan policies in collaboration with the Pastor.
5. Manage the onboarding process of all new employees to the office ensuring they have
the proper technology and security protocols and provide all necessary tools for their success.

SPECIFIC RESPONSIBILITIES:

Financial Oversight:
Manage all finance operations, including accounting, accounts payable (review and approve purchases as required), accounts receivable, payroll, and ensure compliance with financial terms of grants and contractual obligations of the Diocese of Birmingham.

Manage the database technology used for fundraising, general accounting, accounts payable, accounts receivable, payroll, and expense reimbursements.

Manage the treasury function for all banking and investment relationships.

Evaluate and update accounting systems, procedures, and practices, including the development and maintenance of systems of internal accounting controls to ensure adherence to Diocesan accounting policies.

Manage the preparation of financial statements, including the analysis and reporting of results to provide forecasts, identify problem areas, and make specific recommendations for solutions/improvement.

Review monthly financial closings and statements, including appropriate commentary and account analyses, as well as substantiation of month-end amounts.

Ensure compliance with record keeping and reporting requirements of federal and state laws, including compliance with Internal Revenue Service, the Alabama Tax regulations, and Canon Law

Human Resources:
Supervises lay staff, in execution of their responsibilities; monitors workflow and ensures smooth operation.

Recommends personnel actions, including performance and salary evaluations of all staff, to the Pastor as appropriate.

Creation and upkeep of St. Mark employee manual.

Create onboarding and orientation for new employees.

Approves time records, administers personnel policies and maintains all parish employee personnel records and files.

Manage record keeping of vacation/sick time for parish employees.

Arrange and conduct all interviews for new positions (work with the Pastor).

Reporting:
Prepare and present accurate financial reports and commentary to Pastor and Finance Council, ensuring timely communication of financial status and compliance with GAAP standards and Diocesan protocols.

Budget Management:
Coordinate and oversee the annual budgeting process, monitor actual results against budgets, and identify variances to support financial planning and decision-making.

Team Leadership:
Providing guidance and support to bookkeeper to enhance their skills and ensure effective financial operations.

Collaboration:
Work closely with Pastor and bookkeeper to educate them on finance and accounting procedures, exploring how finance can support program operations effectively.

Audit Coordination:
Coordinate all audit activities, ensuring that the church is prepared for audits and that all financial practices comply with Diocesan and regulatory standards.

QUALIFICATIONS
Commitment to the core teachings/values of the Catholic Church, fully embracing the vision and strategy of Saint Mark the Evangelist Catholic Parish.

A pastoral understanding of both the business activities of the parish and its unique Catholic ministries and missions

Excellent leadership skills with an ability to lead, guide and direct highly functioning teams, motivating staff to achieve parish objectives and make staff changes when necessary.

Valid driver's license required with no convictions or infractions involving drugs or alcohol. Must pass a criminal background screening and credit check.

Education and Experience:
A bachelor's degree in a relevant field such as business administration or non-profit management, plus a minimum of 5 years of experience in operations management or a related field.

Skills:
Strong analytical skills, attention to detail, and proficiency in accounting software and financial reporting tools are necessary.

Excellent communication and leadership skills are also important for collaborating with various parishioners, staff, volunteers, and clergy.

Self-Directed, proactive and resourceful with the ability to work independently, meet deadlines, and formulate and implement processes. Fluency (or the ability to be trained) in the full Microsoft Office Suite (Word, Excel, Publisher), the full Google Suite (Gmail, Forms, Calendar, Drive, Docs, Sheets), QuickBooks pro for accounting data entry, Ministry Platform for data entry, and the ability to learn other computer programs as needed.

Availability and willingness at times to work non-standard hours to deal with emergencies or facilitate the successful outcome of projects.
