Key Responsibilities
• Provide direct administrative support to the Executive Director, Director of Finance & Administration, Director of Donor Relations, and Senior Management.
• Manage schedules, travel arrangements, meetings, agendas, and correspondence for the executive office and board.
• Coordinate board and committee meetings, including materials preparation, logistics, and follow-up.
• Oversee office operations, vendor management, supply procurement, and maintenance requests.
• Manage digital filing systems and maintain accurate, accessible records.
• Plan and coordinate staff events and support select donor engagement activities.
• Serve as a liaison between leadership, staff, vendors, and external partners.
Qualifications
• Associate's degree required; Bachelor's degree preferred.
• Minimum five years of experience providing executive-level administrative support.
• Demonstrated professionalism, discretion, and ability to handle confidential information.
• Strong organizational skills with the ability to manage multiple priorities and deadlines.
• Excellent written communication, editing, and document preparation skills.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and digital records management.
• Proven ability to coordinate events, projects, and travel.
• Ability to work independently while fostering collaboration in a team environment.
• Commitment to the mission of Seton Heritage Ministries; familiarity with Catholic teachings preferred.
Physical Requirements
• Primarily sedentary work, involving long periods of sitting and computer use.
• Occasional walking, standing, and moving throughout the office.
• Ability to communicate effectively in person and via phone or video conferencing.
• Occasional lifting and carrying of light materials (up to 15 pounds).
• May require brief periods outdoors in varying weather conditions.
• Ability to navigate standard office equipment and technology safely and efficiently.
