Cross Catholic Outreach is a Catholic ministry with an ecumenical staff of Catholic, Protestant, and Eastern Orthodox believers working in unity to provide food, water, housing, education, orphan support, medical care, micro-enterprise, and disaster relief and the love of our Lord Jesus Christ to the poorest of the poor in more than thirty countries around the world. Reports to: Chief Financial Officer
Position Summary: The Administrative Support Services Manager provides high-level support to the Chief Financial Officer (CFO), who oversees Accounting, Human Resources, Risk Management, Legal, and Business Operations support services. This role is more than an administrative assistant-it is a trusted right hand to the CFO, managing calendar and communications, tracking projects, following up with staff, and serving as liaison with internal and external stakeholders. The Administrative Support Services Manager frequently acts on behalf of the CFO to ensure organizational priorities are advanced, requiring judgment, initiative, discretion, and the ability to manage complex organizational dynamics.

Educational or Certification Requirements:
• Bachelor's degree, or commensurate experience, preferred.
Knowledge, Skills & Character Required:
• Is a consistent witness for Jesus Christ; maintains a courteous, Christ-like attitude in dealing with people within and outside of the ministry.
• Feels a calling to serve God through serving Cross Catholic Outreach in this capacity.
• Believes in and supports the mission and ministry of Cross Catholic Outreach and agrees with the conduct policies and conduct expectations of Cross Catholic Outreach.
• Strong grasp of the Microsoft Office suite.
• Essential skills include:
a. Strong organizational, project management, strategic thinking, problem-solving, analytical, and communication abilities.
b. High emotional intelligence and professionalism.
c. Ability to work independently or collaboratively with all stakeholders.
d. Strong judgment, discretion, and understanding of confidentiality and organizational dynamics are important.
e. Ability to anticipate needs and manage sensitive tasks and information.
f. Understanding of accounting, HR, and organizational operations.
g. Excellent written and verbal communication skills.
Duties:
• Manage emails, staff project tasks, travel, and organizational meetings to ensure milestones and project deadlines are met.
• Manage a complex calendar and ensure the Chief Financial Officer is aware of any preparation needed for upcoming meetings.
• Lead and coordinate special projects that are strategically significant and often impact multiple departments.
• Ensure projects align with organizational goals and drive positive outcomes.
• Organize meetings, prepare agendas, take minutes, and distribute action items to relevant parties.
• Serve as a primary point of contact, screen and prioritize incoming requests and emails, and draft correspondence as needed on behalf of the CFO.
• Serve as a key liaison between the CFO and internal and external stakeholders, fostering positive relationships.
• Proactively identify issues requiring the CFO's attention and propose solutions.
• Handle confidential information with integrity and discretion.
