Job Description

Reports To: Guardian/Commissary
FLSA Status: Full Time - Exempt

SPECIFIC RESPONSIBILITIES: The Executive Advisor is responsible for supporting the Guardian and the Commissary (the 'Leadership') in the day-to-day business operations of the Franciscan Monastery and the Commissariat of the Holy Land to include: strategic and management advisory, business activities and processes, fundraising/development, communications, and marketing programs.
Specific job functions: Coordinating the implementation of the Leadership's guidance, trouble-shooting and management reporting of the following functions, processes and activities:

Strategy and Programming Advisory to the Leadership.
Processes planning and development.
Strategies planning and development.
Finance
Daily processing of bills and invoices
Payroll & employee benefits processing
Prepare and deliver bank deposits
Help accountants with monthly reconciliation
Preparation and submission of government forms and filings
Development/Fundraising
Process incoming and prepare outgoing mail
Help prepare mailing lists for direct mail, fundraising events and the Pontifical Good Friday Collection
Prepare material and makes follow-up with dioceses and parishes regarding the Good Friday Collection
Process daily donation, enter gifts in database, and send gift acknowledgements
Maintain a system of records management, both electronic and paper for all donors and prospects
Assist with fulfillment (i.e., Mass cards and Perpetual Enrollments)
Prepare monthly Mass/Perpetual Enrollment name reports
Follow-up with donors as needed to process donations and answer questions
Assist with donor recognition, cultivation, and stewardship
Update and clean-up donor database as needed
Events
Process event ticket sales, sponsorships, and donations and send acknowledgements
Track inventory needed for events (e.g., food & beverage, supplies, tablecloths, etc.)
Manage event logistics, provide administrative support to event coordinators
Help on the day of events, including the printing of name cards and setup of space
Executive Department
Provide clerical support, including data entry, filing, printing, copying, correspondence and errands
Scan, upload, and organize Accounts Payables and Receivables
Board book maintenance
Holy Land Review
Process new subscribers and resolve customer issues
Receive and process deposits
Print and label magazines for Monastery

EDUCATION: Bachelor's degree from a four-year college or university and/or related experience.

Solid organizational and analytical skills
Computer proficiency - Microsoft Office and the ability to learn and utilize various softwares.
Ability to read, analyze and interpret technical procedures or governmental regulations.

SUPERVISORY RESPONSIBILITIES: None
