Job Description
PRIMARY FUNCTION OF THIS POSITIONThe Administrative Assistant provides secretarial and clerical support to the Pastor and Director of Faith Formation.
REPORTS TO: Pastor and Director of Faith Formation
Status: Part-Time, 25 hours/week,
Hourly, Non-Exempt
JOB RESPONSIBILITIES
Secretarial
• Help maintain the digital parish calendar
• Work with the Pastor for the scheduling of weddings: assist with communications to wedding couples; prepare and record sacramental record; send wedding notifications
• Work with the Parish Secretary for the scheduling of Baptisms: Assist with communication for scheduling; Oversee scheduling of baptism preparation classes; Prepare and record sacramental record; Work with families to select a godparent
• Maintain parish census: Oversee parishioner registration; Oversee the welcoming of new parishioners
Communications
• Update phone messages as needed
• Send weekly parish email to parishioners
• Work with Parish Secretary to post the weekly parish bulletin
• Assist with parish website
Faith Formation
• Maintain and organize registration and records
• Assign students to classes
• Place orders for books
• Communicate with parents of students in the program via email and phone
• Work with Business Office for tuition payment
• Assist with sacramental planning
• Maintain attendance records and other program requirements
• Prepare and record sacramental records
NECESSARY QUALIFICATIONS
• Active member of the Roman Catholic Church
• High School Graduate or equivalent
• Three years of successful parish secretarial experience preferred.
• Familiarity with Outlook, ParishSoft and E-Catholic preferred. Must have sufficient
computer skills.
• Demonstrates ability to set priorities and organize work effectively and efficiently including developing and maintaining effective record-keeping systems.
• Ability to honor and maintain confidentiality
• Ability to work as a member of a team
• Strong communication and pastoral skills
WORKING ENVIRONMENT
General office environment with regular business hours.
