Job Description

PRIMARY FUNCTION OF THIS POSITION
The Administrative Assistant provides secretarial and clerical support to the Pastor and Director of Faith Formation.

REPORTS TO: Pastor and Director of Faith Formation

Status: Part-Time, 25 hours/week,
Hourly, Non-Exempt

JOB RESPONSIBILITIES

Secretarial
• Maintain the parish calendar on Outlook
-School events, funerals, weddings, choir, room reservations, etc
• Assist Parish Secretary

Communications
• Bulletin Editor: Design bulletin every week
• Send weekly parish emails to parishioners
• Update phone messages as needed
• Assist with parish website

Faith Formation
• Maintain and organize registration and records
• Assign students to classes
• Place orders for books
• Communicate with parents of students in the program via email and phone
• Work with Business Office for tuition payment
• Assist with sacramental planning
- Be present for special events such as First Reconciliation, First Communion, Confirmation, and Retreats
- Help with catechist meetings and open houses
• Maintain attendance records and other program requirements
- Keep record of Safety Teaching Program and report to Diocese
• Prepare and record sacramental records for OCIA, First Communion, and Confirmation

WORKING ENVIRONMENT
General office environment with regular business hours.
