Job Description
Location: St. Paul, MNPosition Type: Part-Time Contract (10-15 hrs per week)
POSITION OVERVIEW
We are seeking a mission-aligned, detail-oriented Administrator to support the daily operations of our growing ministry. This role is ideal for someone who desires to serve behind the scenes in a meaningful, organized environment. The Administrator will support a small but deeply committed team in fulfilling our call to serve those most in need of healing.
KEY RESPONSIBILITIES
Operations:
- Manage general administrative duties, scheduling, and organizational communications
- Support fundraising, financial tracking, donation records, and communication with our accountant or bookkeeper
- Assist with donor correspondence, mailings, and maintaining contact databases
- Help coordinate retreats (3 x year), retreat center contracts, and ministry events, including materials, logistics, and communication
- Maintain accurate and up-to-date digital and physical records
- Research grants
- Support volunteer and team coordination
- Ensure key compliance documents and annual filings are organized and submitted on time; coordinate retreat center contracts.
MARKETING
- Monthly Mail-chimp Notices for Zoom Meet Ups, connects with facilitator and organizes monthly themes
- Retreat info for Church bulletins, Archdiocesan Calendar, etc.
- Recruits past retreat participants to write or record testimonies
- Nov/Dec fundraising emails
- Create or update New Marketing Aids (as needed) i.e., brochures, posters, business cards
- Oversee Social Media accounts- Facebook/Instagram
- Oversee website content and assist with social media or email newsletters (or use a volunteer)
- Manage Inbox for ministry
Ideal Candidate Will Have: A heart for mission and a commitment to Christian values; strong organizational and communication skills; and experience with office administration and/or nonprofit operations. The ability to work independently and collaboratively with a small, faith-driven team. Discretion and sensitivity when handling confidential or trauma-related information
Comfort using Microsoft Office, Google Workspace, and basic accounting tools (Quick-books experience a plus)
Additional Details: Work-from-home flexibility with occasional in-person meetings or events in the Twin Cities. Some availability for evening or weekend support around retreats or fundraising events may be requested.
