REPORTS TO: Director of Parish Administration
EFFECTIVE DATE: Sept 15, 2025
CLASSIFICATION: Non-Exempt
HOURS PER WEEK: 40

POSITION SUMMARY
Here at St. John Vianney parish, we want "to know Jesus, and to make Him known." To help carry out this mission of making disciples, we are looking for someone passionate about assisting in the front office.
The Parish Receptionist is the first point of contact for parishioners, visitors, and those seeking information or assistance from the parish office. This role requires a welcoming and compassionate demeanor, a professional presence, and a strong understanding of the Catholic faith and parish life. The receptionist provides administrative and clerical support to parish staff and ministries, and helps ensure the smooth operation of the front office.

KEY RESPONSIBILITIES
Greet and assist parishioners, visitors, and vendors with Catholic hospitality and welcome.
Answer and direct phone calls, take messages, and respond to inquiries regarding Mass times, sacraments, parish events, and other general information.
Maintain confidentiality when dealing with parishioner information and sensitive matters.
Assist in the scheduling of Mass intentions, sacramental appointments (baptisms, weddings, funerals), and meeting space.
Process incoming and outgoing mail; distribute to appropriate staff.
Maintain parish calendars and update the bulletin board with current parish information.
Assist with preparing weekly parish bulletins, newsletters, and communications.
Maintain accurate records, including parishioner registrations, sacramental records, and contact information.
Coordinate volunteers for reception desk coverage and support ministries as needed.
Support staff with additional clerical duties such as filing, photocopying, and data entry.

REQUIRED SKILLS & QUALIFICATIONS
Believing and practicing disciple of Jesus Christ, in full communion with the Roman Catholic Church.
Bilingual in English and Spanish.
Must pass all required background checks and adhere to the Safe Environment Policies of the Diocese of Phoenix.
Possess a valid Arizona Driver's license.
High school diploma or equivalent.

PREFERRED SKILLS & QUALIFICATIONS
Prior experience in a receptionist, administrative assistant, or customer service role.
Proficiency in Microsoft Office and Google Applications; familiarity with church management software (Parish Soft) is a plus.
Excellent communication and time management skills; proven ability to meet deadlines.
Warm, respectful, and welcoming demeanor aligned with the values of the Catholic Church.
Ability to handle confidential matters with discretion and professionalism.
Ability to function well in a high-paced environment.
Team-oriented attitude and experience.

WORK ENVIRONMENT
Office setting within a parish and school campus
Regular interaction with clergy, parishioners, ministry leaders, and the public
Some flexibility may be needed to support parish events or special liturgical seasons (e.g., Holy Week, Christmas)
