Parish Data SpecialistPosition Type: Full-Time, Exempt Catholic: Required

JOB SUMMARY
The Parish Data Specialist is responsible for the integrity, organization, maintenance, security, and strategic use of all parish data. Serving as the primary administrator of ParishStaq, this position ensures parish records are accurate, complete, and well organized while maximizing the functionality of the system to support parish operations, ministry, stewardship, communications, and informed decision-making. Working closely with the Office Manager, Director of Parish Operations, parish staff, and ministry leaders, the Parish Data Specialist develops and maintains data standards, improves business processes, provides reporting and analysis, and serves as the primary liaison with ParishStaq to enhance system functionality and user adoption.
ESSENTIAL RESPONSIBILITIES
Parish Data Management:
Continuously evaluate the parish technology ecosystem, including ParishStaq, MSP, MinistryOne (MIO), WeShare, and related platforms, to identify opportunities for improved end-to-end workflows, system interfaces, data quality, reporting, and operational efficiencies.
Serve as the steward of all parish data, ensuring information remains accurate, organized, secure, and reliable.
Maintain the integrity of parishioner, household, sacramental, ministry, volunteer, and contribution records.
Establish, document, and maintain parish-wide standards for data entry, record maintenance, and data governance.
Perform ongoing audits to identify duplicate, incomplete, outdated, or inaccurate records and coordinate corrective actions.
Lead parish-wide data cleanup initiatives to improve the quality and reliability of parish information.
Ensure parish records comply with diocesan policies, record retention requirements, and best practices.
Maintain the security and confidentiality of parish data while ensuring appropriate user access and permissions.
ParishStaq Administration:
Serve as the primary administrator and subject matter expert for ParishStaq.
Maintain, configure, and optimize ParishStaq to support parish operations and ministry needs.
Configure system settings, forms, workflows, permissions, and other features as appropriate.
Stay current on ParishStaq updates, enhancements, and new functionality, evaluating opportunities for implementation.
Develop and maintain ParishStaq procedures, documentation, and best practices.
Coordinate testing and implementation of new features and system improvements.
Vendor & Systems Management:
Serve as the primary liaison with ParishStaq support and implementation teams.
Coordinate troubleshooting, issue resolution, software updates, and enhancement requests.
Advocate for parish needs and collaborate with the vendor to maximize system capabilities.
Coordinate and validate data imports, exports, integrations, and validation between ParishStaq and other parish systems, as applicable.
Collaborate with staff responsible for MSP, MinistryOne (MIO), WeShare, and other parish technology platforms to improve data quality, reporting, system interfaces, and cross-platform workflows.
Reporting & Data Analysis:
Develop and generate reports supporting parish leadership, stewardship, finance, communications, evangelization, and ministry planning.
Extract, analyze, and present data to identify trends, opportunities, and operational improvements.
Develop dashboards, recurring reports, and key performance indicators to support informed decision-making.
Provide parish staff with accurate reports, mailing lists, demographic information, and other data as needed.
Process Improvement & Training
Evaluate administrative workflows and recommend improvements utilizing ParishStaq functionality.
Develop processes that improve data accuracy, efficiency, and consistency across all parish departments.
Collaborate with parish staff to improve how information is collected, maintained, and utilized.
Train and support staff in the effective use of ParishStaq and established data standards.
Develop user guides, training materials, and documentation to promote consistent system utilization.
Other Responsibilities:
Maintain strict confidentiality regarding parishioner information and parish business.
Assist with special projects as assigned by the Office Manager or Director of Parish Operations.
Perform other duties as assigned.
QUALIFICATIONS
Alignment to the mission, and adherence to the teachings, of the Catholic Church.
Compliance background check, fingerprinting, and Protecting God's Children certification.
Associate's or Bachelor's degree in Business Administration, Information Systems, Data Management, or a related field preferred.
Minimum of three years of experience managing databases, CRM systems, administrative software, or business information systems.
Proficiency with SQL or Python.
Experience with ParishStaq or similar church management software preferred.
Strong proficiency with Microsoft Excel and database reporting tools.
Experience with data cleanup, reporting, process improvement, and systems administration preferred.

WORK SETTING
Work is performed primarily in an office setting.
This person is required to stand, walk, talk, reach, sit, listen, and may need to lift up to 25 lbs.
Occasional evening or weekend hours may be required to support parish operations, training, or special projects.
