Job Description
SUMMARYThe Development Database Administrator reports to the Director of the Office of Stewardship & Development and is responsible for utilization, oversight and advancement of the development database. The Database Administrator is an integral member of the Development team responsible for managing the Blackbaud database (Raiser's Edge) and managing external data imports and appends. Working directly with Development colleagues, the Database Administrator will be responsible for database cleanup, complex queries, exports and reports, ensures correct entry in the database and supports regular auditing to ensure data integrity.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
• Oversee and manage the department's donor database system (Raiser's Edge by Blackbaud utilizing NXT, database view and Online Express).
• Work closely with other development colleagues as their roles intersect with the data utilized in their daily work.
• Work closely with the IT Staff in supporting other end users, staying abreast of updates and new tools as the software evolves.
• Create fundraising reports and other database reports as required. Produce and manage donor lists and reports from database.
• Proactively identify and implement database modifications to support accurate recording and reporting; participate in systems analysis of donor database and related software.
• Review current systems and lead efforts to improve work flow and overall support to fundraising efforts as the office grows its number and complexity of gifts pledged and received.
• Respond to staff and constituent questions regarding data issues with Raiser's Edge, provide technical expertise; assess requests, effectively communicate database opportunities and limitations.
• Accurately update records with information supplied by parishes, parishioners and vendors and communicate that information back to parishes.
• Coordinate and provide assistance with the range of fundraising efforts undertaken by the development office, including on-site support at key events.
• Oversee the quality, integrity and accuracy of all donor information and gifts entered into the Raiser's Edge NXT database.
• Generate customized queries, reports, lists for development activities, including lists, exports, revenue, renewal and pledge reports, performance analysis reports etc.
• Analyze and track giving with routine reports, confirming and reconciling with development team members and with the finance department, as applicable.
• Train and support database end-users, including parish staff, and other Diocesan staff as needed
• Maintain entry standards and procedures; conduct trainings to support effective, optimized utilization.
• Ensure that all coding and table entries are consistent, well maintained, and adhere to policy and protocols.
• Coordinate database integration with the Finance department, including timely reconciliation to deposit, ACH transfers, and online payment systems (BBMS).
• Assist with creation and administration of on-line registrations for departments that are conducting events, seminars, workshops, etc.
• Administer pledge reminder schedule; work with others to ensure timely action and adherence to pledge management policies.
• Audit database records for accurate coding, maintenance of constituent records and data integration; responsible for global changes, creating and mapping required fields.
• Excellent organizational skills.
• Demonstrated ability to prioritize and effectively manage multiple tasks and deadlines with minimal supervision.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
• Bachelor's degree or equivalent work experience.
• 2-3 years of experience in gift processing and/or database management in a non-profit environment.
• Experience using Raiser's Edge donor database. Raiser's Edge NXT experience a plus.
• Must possess knowledge of fundraising principles and practices.
• Detail-oriented, with strong organizational, analytical, and planning skills.
• Ability to prioritize, multi-task, and juggle multiple assignments and deadlines.
• Ability to maintain confidentiality.
• Aptitude for the management and effective use of information systems.
• Excellent time management skills and computer proficiency in Microsoft Word, Excel, and Outlook.
• Sound judgment relating to confidential projects, donor and/or prospect matters, including effective communication regarding such matters to the appropriate individuals.
• Excellent customer service skills required.
