Royal Palm Academy, a joyful and thriving independent Catholic PK-8 school in North Naples, Florida, is seeking a full-time Communications & Marketing Coordinator to strengthen the school's communications output and provide high-trust coordination support through the Head of School Office.
This is a task-oriented, execution-driven role for someone who takes pride in accuracy, follow-through, and finishing. Clear direction and priorities will be provided. The expectation is excellent, timely completion.
This position is well-suited for a highly reliable professional with strong writing skills, exceptional attention to detail, and comfort managing multiple priorities in a deadline-driven environment.
Position Overview
The Communications & Marketing Coordinator reports to the Head of School and works in close collaboration with Enrollment Management, Advancement, and Division leadership. This role supports school-wide communications, content production, publications, and coordinated follow-through on priority initiatives.
This is a full-year, 12-month position that follows a school calendar, with generous time off aligned to major school holidays. The role is fully on-site and includes a small number of rare evening or weekend commitments tied to major events.
Key Responsibilities
Communications and Marketing Execution
• Draft, proofread, and publish school communications (announcements, reminders, updates, newsletters, short letters, event communications).
• Maintain and update website content (pages, news items, basic edits and refreshes).
• Support and execute school social media, including drafting captions, scheduling posts, and ensuring content aligns to school priorities and tone.
• Produce and update simple marketing materials (flyers, one-pagers, invitations, digital graphics) using established templates and brand standards.
• Support school publications and print needs (programs, handouts, signage, basic production coordination).
• Coordinate basic photo/video capture needs for storytelling and promotions (in partnership with school staff and vendors as needed).
• Maintain organized archives of communications, templates, publications, and brand assets.
Project Coordination and Head of School Office Support
• Provide scheduling and logistics support for meetings, tours, and school engagements (confirmations, calendars, materials, reminders).
• Draft correspondence in the Head of School's voice as assigned (families, donors, trustees, community partners), with clear turnaround timelines.
• Track action items and follow-through from assigned meetings and projects, ensuring commitments close cleanly.
• Maintain simple, reliable systems (contact lists, project trackers, shared folders, communication logs) to reduce friction and prevent dropped details.
• Support preparation of meeting materials and packets as assigned (agendas, print sets, summaries, follow-up notes).
Cross-Team Support (Enrollment and Advancement Collaboration)
• Support admissions and advancement communications execution (event reminders, stewardship and campaign messaging, basic collateral).
• Coordinate communications deliverables tied to key events and engagement moments across the school calendar.
• Provide responsive, professional support when priorities shift during peak seasons.
This Role Is For Someone Who...
• Takes direction well and executes quickly without needing repeated reminders.
• Notices errors others miss and cares about getting details right.
• Enjoys checklists, deadlines, and closing loops.
• Can manage multiple small priorities calmly and keep work organized.
• Communicates clearly, professionally, and with good judgment.
• Handles sensitive information with discretion and confidentiality.
This Role Is Not For Someone Who...
• Needs wide creative freedom to stay motivated.
• Wants to own strategy, vision, or a big independent portfolio right away.
• Dislikes routine, logistics, or administrative coordination.
Professional Expectations
Strong candidates will demonstrate:
• Alignment with the Catholic mission and values of Royal Palm Academy.
• Exceptional reliability, follow-through, and attention to detail.
• Professional discretion and confidentiality with school, family, and donor information.
• A service-oriented, can-do approach and willingness to step in wherever needed.
• Flexibility and composure when priorities change.
• Demonstrated ability to manage multiple deadlines and complete tasks without reminders.
Qualifications
• Undergraduate degree strongly preferred (communications, marketing, journalism, PR, English, or related fields a plus).
• Strong writing and editing skills; ability to capture and maintain a consistent voice.
• Strong organizational skills and comfort managing deadlines.
• Comfort with everyday digital tools (Microsoft Office); willingness to learn new systems.
• Canva experience is a plus; website/content system familiarity is a plus but not required.
• Ability to manage details with a high degree of accuracy is essential.
Training will be provided. Reliability, accuracy, and execution matter more than prior system knowledge.
Growth Pathways
For the right person, this role has meaningful growth potential. As trust and capability develop, the position may grow to include:
• Increased ownership of communications production and publishing cadence.
• Expanded responsibility for school-wide publications and content systems.
• Greater project coordination responsibility across priority initiatives.
• Compensation growth tied directly to execution, reliability, and expanded scope.
Position Details
• Full-time, on-site, 12-month administrative position.
• 40 hours per week, typically 7:30 a.m.-4:00 p.m., Monday through Friday.
• Compensation is reviewed annually; increases tied to execution, reliability, and expanded responsibility.
• A small number of rare evening or weekend hours may be required for major school events.

• Please submit a Resume/CV in Adobe PDF format to Michael Bussman, Head of School, at mbussman@royalpalmacademy.org.
