Job Description
The TI now seeks to hire an Administrative Assistant to support the temporal aspects of this growing apostolate, including matters dealing with external communications, finances, bill payments, reimbursements, property management, and other programmatic initiatives.The Administrative Assistant reports to the Business Manager of the Thomistic Institute and works in close collaboration with the other TI staff. This is a full-time, in-office position that requires residency in the greater Washington, D.C. metro area.
Responsibilities:
Oversight and day-to-day implementation of all processes dealing with bill payments, reimbursements, and other financial transactions.
Includes receiving invoices and reimbursement requests from various TI program and administrative staff and constituents, processing the claims on a timely basis, and ensuring that all necessary information is gathered and properly recorded.
Includes receiving receipts from various TI program and administrative staff for internal expenses and classifying expenses according to the chart of accounts.
Monitoring the main TI email account and replying to incoming messages on behalf of the TI team or routing emails to the appropriate staff member.
Answering the main TI phone number and directing calls as appropriate.
As assigned by the Director, managing initiatives such as:
The translation of CREDO into Spanish
The publication of Sed Contra
The organization of TI's internal cloud-based storage system
Managing TI property and equipment, and overseeing maintenance, renovations, and upgrades as needed.
Collaborating with other TI team members in the execution of conferences and events.
As time permits, the Director may assign additional responsibilities (e.g., event planning and execution).
Important Traits & Skills:
At least a B.A. degree or its equivalent
Good verbal and written communication skills; thrives working with people and building relationships
Organized, responsible, self-motivated, and detail-oriented
Comfortable handling multiple projects simultaneously
Accounts payable experience
Knowledge of the Catholic intellectual tradition and a desire to spread the faith by intellectual evangelization
Familiarity with Excel, Expensify, BILL.com, and Salesforce (CRM) is a significant plus
About the Thomistic Institute:
The Thomistic Institute is a research institute of the Pontifical Faculty of the Dominican House of Studies and an apostolate of the Dominican friars of the Province of St. Joseph. The person holding this position will represent the TI and the Dominican friars in public, bear witness to and teach the Catholic faith, and at times lead others in Catholic prayers. Applicants must be practicing Catholics in good standing who assent to and profess the Catholic faith in its entirety, as presented in the Catechism of the Catholic Church.
As part of the position, the Administrative Assistant will be entitled to audit one course per semester at the Dominican House of Studies (e.g., M.A. level classes in philosophy or theology), during office hours.
All members of the TI team are encouraged to participate in the regular liturgical life of the Dominican friars-for example, stepping away from work for Mass, the daily midday rosary, the Divine Office, and other forms of prayer.
